The Client Challenge
The association’s member portal had been built 15 years earlier and incrementally patched ever since. It handled membership renewals, continuing education credit tracking, and event registration all mission-critical functions for an organization whose members needed their licenses current to legally practice.
The operational problems:
- The portal’s interface was outdated and not mobile-responsive, and member complaints about usability had grown consistently year over year, showing up repeatedly in the association’s annual member satisfaction survey.
- Continuing education credit tracking was error-prone; members frequently disputed their credit totals, and staff spent significant time manually reconciling records against paper certificates and spreadsheet backups.
- Membership renewal was a multi-step, confusing process that contributed to a renewal completion rate the association considered too low, risking member attrition and lost dues revenue.
- Event registration ran through a separate third-party tool that didn’t connect to member records, so staff couldn’t easily see a member’s full engagement history in one place.
- The technology powering the portal was old enough that finding developers willing to maintain it had become difficult, and the association’s small internal IT team lacked the capacity for a project of this scope.
- Compliance mattered directly to members’ professional licenses — an error in continuing education credit tracking wasn’t just an inconvenience, it could put a member’s ability to practice at risk.
Our Solution
Air Brite Labs designed and built a new custom member portal from the ground up, consolidating membership management, continuing education tracking, and event registration into one modern, reliable, mobile-friendly application.
Key capabilities delivered:
- Streamlined renewal flow — membership renewal was redesigned from a multi-page, confusing process into a guided, few-click flow with clear status indicators throughout.
- Reliable CE credit tracking — continuing education credits are tracked automatically as members complete association-approved courses and events, with a clear, member-facing credit ledger that eliminated the prior disputes and manual reconciliation.
- Unified event registration — event registration now lives inside the same portal as membership records, giving both members and staff a complete view of engagement history in one place.
- Mobile-responsive design — members can renew, check CE credits, or register for events from a phone, addressing the most consistent complaint in the association’s member surveys.
- Staff administration tools — association staff have a dedicated admin interface for managing member records, verifying CE compliance, and handling exceptions, replacing manual spreadsheet-based processes.
- Automated renewal and compliance reminders — members receive automated email reminders ahead of renewal deadlines and CE compliance cutoffs, reducing the volume of last-minute compliance issues staff had to handle manually.
Technical Approach
Frontend: Built with React and TypeScript, with a strong focus on accessibility and mobile responsiveness given the portal’s mission-critical role for members needing to manage their professional licensing status.
Backend: Node.js API layer handling membership records, CE credit calculation logic, and event registration, with PostgreSQL as the central data store replacing the fragmented legacy database and spreadsheet backups.
CE Credit Engine: Built a dedicated continuing education tracking module that automatically applies credit hours based on completed courses and events, with clear audit logging so both members and staff can see exactly how a credit total was calculated directly addressing the dispute and reconciliation problems of the legacy system.
Payments: Stripe integrated for membership renewal payments and event registration fees, replacing the legacy portal’s outdated payment processor and providing staff with clearer financial reconciliation tools.
Authentication: Auth0 handles member authentication, replacing legacy custom authentication and supporting modern account security practices members increasingly expected.
Notifications: SendGrid powers automated renewal and CE compliance reminder emails, configured with escalating reminder timing as deadlines approach.
Infrastructure: Deployed on AWS ECS with RDS for the managed database and S3 for document storage (uploaded CE certificates, license documentation), providing the reliability required for a system tied directly to members’ professional licensing status.
Data Migration: Fifteen years of member, CE credit, and event history were migrated from the legacy database, with a dedicated validation phase to reconcile discrepancies between the legacy system and paper/spreadsheet backup records before go-live.
Implementation Process
- Discovery & Requirement Analysis (Weeks 1–3): Interviewed association staff and surveyed a sample of members to understand both the operational pain points and the specific usability complaints driving negative member survey feedback.
- Prototype / PoC (Weeks 4–5): Built and user-tested the redesigned renewal flow with a group of association staff and volunteer member testers before committing to full development.
- Development (Weeks 6–13): Built the full membership portal, CE credit tracking engine, event registration module, and staff administration tools.
- Integration (Weeks 14–15): Integrated Stripe payments, Auth0 authentication, and SendGrid notifications; migrated 15 years of historical member and CE data.
- Testing (Week 16): Ran a beta period with a subset of members renewing early, validating the renewal flow and CE credit accuracy against real member scenarios before full launch.
- Deployment (Week 17): Full public launch ahead of the association’s next major renewal cycle, with staff trained on the new administration tools.
- Optimization (Week 18 and ongoing): Refined the renewal flow based on real completion-rate data and adjusted reminder timing based on early compliance-rate observations.
Key Features Delivered
- Redesigned, mobile-responsive membership renewal flow
- Automated continuing education credit tracking with member-facing audit ledger
- Unified event registration integrated with member records
- Staff administration dashboard for member and compliance management
- Stripe-based payment processing for renewals and event fees
- Automated renewal and CE compliance reminder notifications
- Migrated 15 years of historical member and CE data with full reconciliation
Business Results
- Membership renewal completion rate improved measurably following the redesigned renewal flow, based on comparison to the prior year’s renewal cycle
- CE credit disputes dropped significantly, reducing staff time spent on manual reconciliation
- Member satisfaction survey scores related to the online portal improved substantially in the survey cycle following launch
- Staff time spent on manual membership and CE administration decreased, freeing capacity for member services work
- Event registration and membership data now live in one system, giving staff a complete member engagement view for the first time
- The association avoided a costly, risky continued reliance on aging, hard-to-maintain legacy technology

| Cloud Infrastructure | AWS ECS, RDS, S3 |
Why the Solution Worked
The project succeeded because it treated the CE credit tracking and renewal flow as the mission-critical functions they actually were, not just administrative features. For members, an error in credit tracking could affect their ability to legally practice — that stakes-awareness shaped the emphasis on clear audit logging and transparent credit calculation throughout the build.
Involving actual member testers during the prototype phase, not just association staff, also mattered. The redesigned renewal flow reflected real member frustration with the old process, not assumptions about what members wanted.
Future Scalability
The portal is designed to support the association’s continued evolution, including:
- Adding a member community or forum feature as the association explores deeper member engagement initiatives
- Extending the CE tracking engine to support reciprocity agreements with other regional associations
- Building more detailed member analytics to help the association understand engagement patterns and target renewal outreach more effectively
- Expanding the events module to support more complex event types (multi-day conferences, virtual/hybrid formats) as association programming evolves
Because the platform’s membership, CE tracking, and event modules are built as distinct, well-defined components, new capabilities extend the existing system rather than requiring another full rebuild.
Final Outcome
The association replaced a 15-year-old, increasingly unmaintainable portal with a modern, reliable system that members actually find easy to use directly improving renewal completion, member satisfaction, and staff efficiency. For an organization where portal reliability ties directly to members’ professional livelihoods, that trust matters as much as the technical upgrade itself.
